01Where your data lives

Your business records — jobs, customers, prices, messages, paperwork — live in Pokitcrew's own database on managed cloud hosting. Your money data stays in your Xero, your email stays in your mailbox and your calendar stays in your calendar: the crew connect to those systems, they don't copy your accounts into ours.

Some of the processing — the voice on the phone, the language understanding — is done by specialist providers, several of them based in the United States. That means not every byte stays in Australia, and we'd rather tell you that straight than bury it. The full list of who does what is at the bottom of this page.

02In transit and at rest

Everything moves over encrypted connections (TLS) — between your browser and us, between us and every provider we use. Stored data sits on infrastructure whose providers encrypt it at rest.

03Who can see it

Three parties: your crew (each crewmate can only touch what its job needs — the money man can't read your SWMS, the socials guy can't see your debtors), you, and the humans who run Pokitcrew when they're setting you up or helping you. That's it. Your data is never sold, never shared with other customers, and never used to build marketing lists.

04Your data doesn't train models

The language and voice providers we use are on commercial API terms that exclude using your data to train their models. Your calls, your prices and your customer list make your crew work for you — they don't make anyone's product smarter.

05How permissions work

Xero, Google and Microsoft connect through their own permission systems (OAuth). You grant the access from your own account, you can see it listed in your own account's security settings, and you can revoke it there any time — the moment you do, that crewmate loses access. We never ask for your passwords, and we never store them.

06Calls, recordings and transcripts

Calls the crew handle are recorded and transcribed — that's how you get the message, the call report and the customer history. They're kept as your business records, for you. Want a recording or transcript gone? Ask, and it's deleted.

07Leaving, exporting and deleting

No lock-in means no data hostage. If you leave, we export your records for you and then delete them on request. And because the crew worked inside your Xero, your mailbox and your calendar all along, everything they put there is already yours and stays exactly where it is.

08Backups and when things go wrong

Our hosting providers take automated backups, so an outage doesn't mean lost records. If an incident ever touches your data, you hear about it from us directly, quickly, and in plain English — what happened, what it affects and what we're doing about it.

09The Australian Privacy Act

Pokitcrew is an Australian business and handles personal information in line with the Australian Privacy Principles — including being upfront (as this page is) about overseas processing. Privacy questions, access requests, corrections or complaints: email us and a human answers.
